Who are we?

The Upper Beaconsfield Village Festival (UBVF) is a project run under the auspices of the Upper Beaconsfield Association (UBA).  The festival has many elements including the Tower Run, Art Show, Stage Acts, Amusements and Stalls.

Why volunteer?

Research shows volunteering benefits both individuals and communities. It allows people to give back while building skills like communication, teamwork, and leadership, expanding networks, and boosting wellbeing.


Volunteering for UBVF is especially rewarding for those interested in event management and community connection, offering a behind-the-scenes look at delivering a large-scale event. There’s something especially fulfilling about watching months of preparation come together in real time and seeing the positive impact on the wider community. The consistently enthusiastic feedback from attendees makes the hard work worthwhile and reinforces the strong sense of community the event creates.

Who can volunteer?

All ages and abilities are encouraged to get involved, as we value and rely on a wide range of ideas, perspectives, and skills to make the event a success.

How You Can Help?

Join the UBVF Committee

Where else can you join a committee, contribute meaningfully, and still enjoy four months off each year? The Upper Beaconsfield Village Festival Committee offers the perfect balance for volunteers who value both impact and downtime.


Most of the work happens in the 4–6 weeks leading up to the festival. Outside of that, tasks are mainly administrative and can be done flexibly, with no heavy lifting or rostering until festival weekend.


Even better, you’ll experience the reward of seeing your efforts come to life — a whole community enjoying what you helped create. The festival is much loved, and the feedback is always overwhelmingly positive.


We begin meeting in July with one evening meeting per month through December. In January and February, we meet weekly (depending on availability during the summer break). Communication is primarily via WhatsApp and email.


We’re always keen to welcome new committee members to help plan, coordinate, and deliver the festival. This is your opportunity to contribute ideas, bring your interests to the table, and directly shape how the festival looks and feels. It’s also a great way to meet new people, build community connections, and help ensure the festival continues to thrive.


There are many roles available, and we tailor responsibilities to suit volunteers’ availability and time commitments.


General roles include:

  • Administration, Planning and Communication

  • Council Liaison: grants, permits, compliance

  • Art Show Coordination

  • Fundraising and Sponsorship

  • Logistics: traffic management, signage, equipment

  • Website Management

  • Social media and Advertising

  • Stallholder Coordination

  • Sustainability and Environmental Management

  • Amusements and Rides

  • Stage and Performing Arts Planning and Coordination

  • Volunteer Coordination


Committee members can take on one or several roles, depending on their capacity and interest.

Join as a Friend of the Festival

Volunteering in the weeks leading up to the festival  

If you are unable to commit to a committee role, we still need additional lead-up support before the event with tasks such as sourcing equipment, raffles, competitions, fundraising, advertising, painting, signage setup, grounds preparation, furniture and equipment collection. These tasks typically require only a few hours per day, depending on the role.  As a Friend of the Festival you can sign up to help with these tasks and make our work way lighter.

The Day Before the Festival

We need plenty of helping hands to assist with the festival setup, including:

  • Picking up, delivering and setting in place furniture and equipment

  • Marquees

  • Moving and securing marquee weights

  • Tables and seating

  • Water station construction

  • Signage preparation

  • Sponsorship banner installation

  • Electrical lead installation

  • Bins

  • Bollards, barricades and bunting

  • Stallholder marking and early stallholder assistance

  • Helping the Art Show and Tower Run teams
